Topic:   Planning Hybrid Meeting for Facilitators?

Description:  Hybrid meetings may seem scary but they don’t have to be. In 2020, we were thrust into learning how to facilitate virtual meetings, but now we have time to prepare. We can build our own best practices. We’ve done it once, we can do it again. A hybrid meeting is a collaborative meeting with participants in two or more separate locations where a distance communication technology is used to create a synchronous experience.

This session is geared towards facilitators and meeting planners. We will share a few tips from hybrid meetings we've planned and you will have the opportunity to practice. We will do a breakout group activity where you will be given a scenario to plan for and be asked to brainstorm:

  • How might you set up the room?
  • What meeting agreements do you want in place?
  • What is your staffing plan?
  • What are the key activities in your agenda?
  • What technology protocols will help you in each activity?
  • What instructions might you need to give to those online vs. in the room?
  • What challenges do you anticipate, and how would you handle them?

Please note - This is NOT a workshop about hybrid workforce planning, (leading teams who are partially in the office and partially remote). Well-planned hybrid style meetings are part of the conversation, but this is merely one piece. Also hybrid meetings are harder logistically, and to keep our plates light both for us and for participants, we opted to keep this session online.

Presenter: Lauren Green

As a certified virtual facilitator, certified coach, experienced visual note-taker and effective leadership development trainer, Lauren believes in the power of visualization to support productive and dynamic group processes and knowledge management. She is recognized for her high-energy and ability to fuel connectivity and engagement. Her deep understanding of group dynamics means that sessions are always designed both to target desired goals and create a safe space for unearthing concerns. Lauren’s first passion is dance. She aims to bring movement and artistry into her visuals, as well as into the exercises and experience of any meeting or training she designs.

Lauren is trained as a COVID Compliance Officer and has facilitated many hybrid meetings pre-COVID. She recently did her first in person facilitated two and half day offsite, where she planned and pivoted to accommodate last minute remote guests.
